How to Use AI-Powered PM Builder

Generate Preventive Maintenance Tasks from Manuals Using Limble's PM Builder

Overview

AI-powered PM builder uses data from your asset manuals to generate preventive maintenance tasks based on asset type, usage, and environment, so you can get ahead of failures without starting from scratch.

This article will walk you through how to access the PM builder for your assets, and then create and edit new PMs from its suggestions.

Accessing the PM Builder

Anyone with the permission to create PMs can use AI-powered PM builder.

  1. From the Manage Assets page, click on the desired asset.

  2. From within the asset card, go to the PMs tab. Then, click “AI-Powered PM Builder.”

  3. In the AI-powered PM builder, you have two options:

    1. Select the asset’s manufacturer and model to use a manual from Limble’s library of manuals.

    2. Or, upload your own manual for the asset. The manual must be a PDF and cannot exceed 4.5 MB.

      (Note: you must upload the manual directly into the builder, even if you have already uploaded one into a custom document field.)

Select a Manufacturer and Model

  1. From the “Select a manufacturer and model” section, select a manufacturer from the dropdown. Then, select a model. Based on the asset fields you have stored in Limble about your asset, these fields may auto-fill for you.

  2. Once you select the manufacturer and model, you will see the number of PM suggestions, with the generated suggestions below it.

Upload a Manual

  1. Click “Upload PDF manual” to upload your own manual for the asset. Once you upload a document, the builder will process the document to generate PM suggestions within a few minutes.

  2. For instances when you previously uploaded a manual into the builder for this asset, click “View upload history.”

    1. From the “Upload history” dropdown, select the asset’s manual.

  3. Once the manual is uploaded and processed, the generated PM suggestions will appear.

Creating PM Templates from Suggestions

  1. Click “Preview PMs” to view a preview of the PM suggestion, including the generated name, schedule, and instructions.

  2. To create a PM template from the suggestion, click “Create PM Template.”

  3. The newly created PM template will appear in the “PM Templates” section of the PMs tab of the asset card (and the Manage PMs page.)

    From here, you can review and make changes to the PM template.

  4. We highly recommend reviewing each PM suggestion once it’s created. It’s important to manually verify the AI’s accuracy.

    Check that the PM name, schedule, and instructions are accurate. The builder only generates checkbox instructions, so make any edits or additions as needed.

  5. Lastly, customize the rest of the template settings: assigned user(s), tags, description, and associated parts or tools. These parts of the PM template are not generated by the builder, so you’ll need to add them manually.

  6. Your PM template is now ready to use! Repeat this process to generate additional PMs from the builder.

When AI-powered PM builder generates a suggestion for a new PM, these are the features within a PM that will, and will not, be generated by the builder.

  • Schedules

  • Checkbox instructions

  • All schedule types

  • All other instruction types

  • Linking asset fields to instructions

  • Assigned user(s)

Best Practices

  • Use the PM suggestions as suggestions. We highly recommend you review the suggestions yourself, make edits, and verify the accuracy of the AI-generated PM before using the PM template.

  • Allow for processing time. It can take up to a few minutes for the PM suggestions to generate.

  • Only upload machine-readable PDF documents. The builder is unable to process a document that is not machine-readable, such as handwritten text or a photo of a document. A general rule is, if you can use the “find” function (CTRL or CMD+F) to locate text within a document, then the builder will be able to process it.

  • Do not re-upload a manual that did not generate PM suggestions the first time. Re-uploading the same manual will not yield PM suggestions on consecutive tries. We recommend providing feedback if this is the case using the Google form, and then uploading a new manual.

  • Only click “Create PM Template” on the PM suggestions you plan to use. Once you click “Create PM Template” on a suggestion, it converts to a PM template. There is not a draft form of an unedited PM template that was AI-generated. You’ll need to delete the PM template after it was converted if you don’t want to use it.

  • Try compressing your manual document. The builder has a PDF size limit of 4.5 MB for uploaded documents. If your manual is above this limit, you could compress it using an online PDF compressor.

  • Title any manuals you upload with easily identifiable names. Once uploaded, your manuals will be available within the builder across all of your assets, so an easily identifiable name is important for ease of use.
