Samsara Integration: User Setup Guide

How to Integrate Samsara with Your Limble Account

Overview

This guide walks you through the process of implementing standard integration scenarios between Limble and Samsara. These scenarios automate data synchronization and maintenance task creation between the two systems.

The Samara integration supports the following features:

  1. Asset Sync: When a Limble asset is populated with a Samsara Gateway Serial, it automatically pulls asset data (such as VIN, Make, Model, Mileage, and Engine Hours) from Samsara.

  2. Ongoing Data Sync: Automatically polls Samsara for updated asset data and syncs it daily into Limble.

  3. DVIR: Listens for Samsara DVIR defects. When detected, creates work orders in Limble tied to the appropriate asset.

(Note: this guide assumes no previous Samsara integrations exist in your Limble account.)

Prerequisites

  • An active Samsara Cloud Account

  • At least one Limble asset with a Samsara Sensor installed

  • Admin access in Samsara, Super User access in Limble

Step 1: Create a Samsara API Token

  1. Log into your Samsara dashboard and go to Settings > API Tokens.

  2. Click "Add an API Token."

  3. Use the name format:
    ​ Samsara: {Org Name} <> Limble

    • Samsara: – Indicates the integration originates from Samsara

    • {Org Name} – Replace this with your organization's name (e.g., Acme Inc)

    • <> – A visual symbol meaning "connected to" or "integrated with"

    • Limble – Indicates the integration connects to Limble

  4. Under Scopes, add:

    • Read - All Scopes

    • Write - All Scopes

  5. Click "Save."

  6. After saving, copy the API token (starts with samsara_api_...). You will use this to complete your setup in Limble’s Integration Center.

Step 2: Activate Samsara Integration in Limble

  1. Log into your Limble account and go to Settings > Integration Center.

  2. In the Integrations Marketplace, open Samsara and select "Reconfigure."

  3. In the new window, you'll begin configuring the integration. Under the listed steps, there are two fields that need to be configured: API Key and Limble User Email

    1. Paste your Samsara API token into the API Key field.

    2. Enter the primary Limble user’s email address into the Limble User Email (Samsara DVIR) field.

      (Note: this must match the email address in the Limble user profile.)

  4. Select "Next."

  5. On the Trigger Details step, copy the provided URL. You’ll use this in step 3 to create your Samsara Webhook.

  6. Select "Finish."

Note: Asset, Asset Field, and Task Endpoint Webhooks are automatically created and stored in Settings > Configuration > Webhooks.

Do note remove or change these webhooks. Doing so will break the integration.

Step 3: Create a Webhook in Samsara

  1. In Samsara, go to Settings > Webhooks.

  2. Click "Add Webhook."

  3. Use the name: Limble.

  4. In the Payload URL field, paste the Samsara DVIR/Fault/Vehicle Update > Limble URL from your Limble Integration center.

  5. Under Event Subscriptions, choose “VehicleUpdated” and “DVIRSubmitted”.

  6. Click "Save."

  7. Refresh the page and confirm the webhook appears.

Step 4: Connect Samsara Assets with Limble

  1. In Samsara, go to the Assets tab.

  2. Select an asset and locate its Gateway Serial (format: XXXX-XXX-XXX).

  3. In Limble, find or create a matching asset.

  4. Add a custom field:

    • Name: Samsara: Gateway Serial

    • Type: Text

  5. Access the field's settings and select Require Values to Be Unique.
    *This prevents the serial from being added to multiple assets, which will cause issues as only one asset will be updated per serial.

  6. Enter the Gateway Serial into this custom field.

    • Important: The value must include dashes (e.g., HABC-123-XYZ), but must be plain text — do not enter it as a hyperlink or include any HTML elements. For best results, right-click and choose “Paste as Plain Text," "Paste and Match Style," or use one of the following keyboard shortcuts:

      • Windows/PC: Control + Shift + V

      • Mac: Command + Shift + V

  7. Once entered:

    • The Samsara-related field names (e.g., Samsara: Odometer Mileage, Samsara: Engine Hours, VIN, Make, and Model) will appear in the asset's custom fields within a few minutes. You may need to refresh the page to see them.

    • Field values, however, may take up to 24 hours to populate, as data synchronization runs once per day.

  8. The “Samsara: Gateway Serial” custom field needs to be created once per location.

Step 5: Create a DVIR Team in Limble

  1. In Limble, navigate to Teams and create a new team including 'Samsara DVIR' in the name.

  2. Add all users who should be notified of DVIR Defects or Fault Codes.

  3. These users will be automatically assigned to work orders created by the Samsara integration.

  4. The DVIR Team needs to be created in each location work orders will be populated, otherwise the integration will automatically assign work orders to the Manager role in that location.

Results

Once all steps are completed, you're done! Limble will:

  • Enrich your Limble assets with live Samsara data

  • Sync changes automatically

  • Create work orders in response to real-world vehicle issues

If data doesn't appear or work orders aren't being created, double-check your API token, webhook URL, and asset serials.
