How to Set Up, View, and Trigger PMs for Readings on Your Assets

Overview

Some assets have meters—such as odometers, hours run, mileage, cycle counters, or oil levels—that provide critical information about the asset's health or maintenance needs.

Limble can automate the creation and assignment of a task based on the meter reading.

The workflow to set this up is simple:

  1. Create an asset field to log readings.

  2. Create a PM to check the meter and update the asset field.

  3. Create a PM to do work based on the reading.

From there, you can view past readings directly in the asset card.

This article will walk you through each step of the workflow.

Create a Reading for an Asset

  1. First, create a meter field for your asset. Navigate to the Manage Assets page and click on the name of the desired asset.

  2. Click "Add & Edit Fields."

  3. In the new window, make sure "Create New Field" is selected.

    Name the field—in this example we will call it "Hours Run"—and select the number field type. Then, click "Create."

  4. You can now update the field by manually entering a value.

Link a PM Instruction to a Reading

  1. The first step is to open/create a PM.

    From the Manage PM Templates page, click "New PM Template."

  2. In the new window, give the PM a name and click "Create."

  3. Click on the new PM template, then select "Add Instruction."

  4. Select the number instruction type. Then, click "Select."

  5. Give a name to the instruction. In this example, we'll name it "record hours run."

  6. Now the instruction needs to be linked to the correct asset. Select the link icon.

  7. Choose the corresponding asset and click "Select."

  8. Select the field that you want to link, then click "Set Link."

  9. The same process can be repeated for other assets.

    1. If you want to use this single PM to update readings for multiple assets, duplicate the instruction and repeat steps 6-9 for applicable assets.

Trigger PMs Based on a Reading

Once your reading is linked between the asset and PM, it can be used to trigger additional PMs.

  1. First, create an additional new PM from within the asset card. Navigate to the PMs tab and click "New PM Template."

  2. Add a name and click "Create."

  3. Select the calendar icon.

  4. Select the "Every X number of units" option. Enter the interval. In this example, we are using every 2000 hours.

    Then select the field you created earlier—in this example, "Hours Ran"—and click "Save."

    Now a PM task will be created every 2000 hours. So the first task will be created at 2000 hours, the second at 4000 hours, and so forth.


    (Note: if multiple PMs are missed based on the "repeat every" interval, Limble will generate all of them once a reading is logged. This is also true for threshold-based PMs.)

View Past Readings

  1. The info tab in the asset card will always show the current reading. To view past readings, hover next to the field until the clock icon appears.

  2. Click the clock icon and the past readings will be displayed. If you want to do further analysis of the readings, you can download the past entries in a .csv file and open it with Excel or other spreadsheet programs.
