How to Edit PMs Using Bulk Actions, Duplicating, & PM Relations

Overview

There are a few different methods that make it quick and easy to update several PMs at one time.

This article covers how to edit and update PMs using the different bulk actions, duplicating, and PM relation options.

Bulk Actions

Bulk actions can be used to make changes to several PM templates at once.

On the Manage PM Templates page, click "Bulk Actions."

From the drop-down menu, you can:

  • Delete PMs

  • Reassign PMs

  • Change PMs' assigned asset

  • Add & remove custom tags

(Note: a user must have permissions #27, #51, #52, #53, #54, #55, #56, #57, and #173 enabled to complete all of the bulk actions mentioned in this article.)

Delete PMs

"Delete PMs" allows you to delete multiple PMs at once. Be extremely careful when bulk deleting PMs, as this action cannot be undone.

  1. After selecting this option, a window appears with all of your PM templates. Choose the ones you want to delete and click "Select."

  2. Confirm your choice by clicking "Yes," noting that this action cannot be undone.

Reassign PMs

"Reassign PMs" allows you to reassign multiple PMs to a different user or team.

  1. After selecting this option, a window appears with all of your PM templates. Select the PMs you want to reassign and click "Select."

  2. Choose the user or team you want the tasks assigned to and click "Select."

Change PMs' Asset

"Change PMs' Asset" is used to change the asset associated with your PMs.

  1. After selecting this option, a window appears with all of your PM templates.

    Select your desired PMs and click "Select."

  2. Then, choose the desired asset and click "Select."

    (Note: you can only select one asset at a time.)

Add & Remove Custom Tags

"Add/Remove Tags" is used to add or remove custom tags from tasks.

  1. After selecting this option, a window appears with all available tasks. Select your desired PMs and click "Select."

  2. Choose "Add Tags" or "Remove Tags." Then, click the desired tags and "Select."

Duplicate a PM

Duplicating a PM template makes it quick and easy to set up PMs for assets the require similar routine maintenance.

  1. Navigate to the Manage PM Templates page.

  2. Click "Options" > "Duplicate PM Template."

  3. Your duplicated PM will be created, with "- Copy" appended to the end of the PM name.

    (Note: the duplicated PM will be related to the original, which makes it easy to update the two PMs together in the future.)

Update the Duplicated PM's Name

  1. To update the name of the duplicated PM, click on the PM name.

  2. In the new window, edit the name field.

Assign a Different Asset to the Duplicated PM

When the new PM was made, all of the information within the PM was also duplicated, including the instructions, schedules, and assigned asset.

  1. To update the assigned asset, hover next to the asset associated with the PM. Click on the pencil icon when it appears.

  2. Choose the asset you would like to be associated with the PM and click "Select."

    (Note: If you need to reassign assets for several duplicated PMs, refer to the bulk action workflow.)

PM Relations

PM relations allow you to link one PM to many, so you can make one update and then quickly transfer the information you updated to all of the linked PMs.

You can use relations to update PM names, instructions, schedules, settings, assignments, description, and parts.

  1. Create or make any desired updates to a PM that you want to replicate for other PMs.

  2. Then, click on the PM name to open it. From within the PM, click on the PM relations signal icon.

  3. Click "Create New Relations."

  4. Select the desired PMs you want to relate, then click "Select."

  5. You will now see your related PMs. Click the check box(es) next to the information you want to update (expanded on in the sections below.)

    Then, click the check box(es) or select/deselect related PMs you want to change and click "Update."

Name

Choose the "Name" option to update the task name across all of your related PMs.

Instructions

Choose the "Instructions" option to update the task instructions in all of your related PMs.

(Note: when bulk importing PMs, we highly recommend using PM relations to configure instructions.)

Schedules

Choose the "Schedules" option to update the schedule for all of your related PMs.

Settings

Choose the "Settings" option to update the task settings -- including task creation and status configuration, default priority, and estimated completion time -- for all of your related PMs.

Assigned To

Choose the "Assigned To" option to update the assigned user or team for all of your related PMs.

PM Description

Choose the "PM Description" option to update the description section for all of your related PMs.

Parts

Choose the "Parts" option to update the parts associated with the task for all of your related PMs.

Unlinking PM Relations

If you want to unlink any of your related PMs, click the red link icon.

Unlinking a PM will remove it from the list of related PMs and future updates, but will not change any of its existing attributes.
