How to Share Custom Dashboards with Other Limble Users or Teams

Overview

Custom dashboards are a great way to keep your team updated on tasks, asset health, parts reporting, and more.

You can share dashboards you create with other users and teams, and configure permissions to give specific teammates editing or ownership privileges.

This article will teach you how to share dashboards with other Limble users and teams, configure their dashboard permissions, and even transfer ownership of a custom dashboard to another user.

Sharing Your Dashboard

Sharing a custom dashboard with other users is easy! Keep in mind that a user's view of data may be limited depending on their role(s) and associated permissions.

For example, if a dashboard includes data from Location A and Location B, a user who only has access to Location A will not see data from Location B.

From the Custom Dashboards page, click on the share button. From the dropdown, select "Share with Teammate."

In the new window, you have the option to share with teams or individual users.

Sharing with Teams

To share a dashboard with a team, select "Share with Teams."

In the new screen, select the team(s) you want to share this dashboard with. You can also share by role, including Manager, Technician, and any custom roles.

You can use the search bar or filter by location to quickly find the teams you want to include.

To see all individual users on a team, use the caret icon to expand the list. Once you're satisfied with your selection, click "Select."

Sharing with Users

To share a dashboard with individual users, select "Share with Users."

In the new screen, select the user(s) you want to share this dashboard with. You can use the search bar, or filter by location or role to quickly find the users you want to include.

Once you're satisfied with your selection, click "Select."

Once the dashboard is shared with a user, they will receive an in-app notification.

The new screen includes list of teammates with access to your dashboard.

To add more users or teams, click on "Share with Teams" or "Share with Users" and repeat this process.

To revoke a user or team's access to the dashboard, click the trashcan button next to their name.

Configuring Dashboard Permissions

You can allow certain users or teams to edit this dashboard by updating their permissions.

To change a teammate's permissions, click on the dropdown and choose an option.

Once you've assigned the desired permissions, you must click "Save" to save your changes.

There are three options:

  • "Viewer" only allows the teammate(s) to view the dashboard. The dashboard will be interactive, but they will not be able to make any changes to its configuration.

  • "Editor" allows the teammate(s) to edit the dashboard. They will be able to add, delete, and edit dashboard widgets, and change the dashboard's layout.

  • "Owner" is the user who owns the dashboard. They are the only user who has admin privileges, including sharing or revoking access to the dashboard and configuring permissions.

    Because only one user is allowed to be an owner, you cannot assign "Owner" to a team. Selecting "Owner" will require you to transfer ownership of the dashboard.

Permissions cannot be customized for individual users within a team. If a specific user needs a different level of access, share it again with that user to adjust their permissions individually.

If a dashboard is shared with a user on more than one team, the highest level of access will overwrite any other settings.

For example, if a user is on Team A, which has "Viewer" privileges, and is also on Team B, which as "Editor" privileges, that user will be able to edit the dashboard.

Transfer Ownership of a Dashboard

You can transfer ownership of a dashboard to another user. This is useful if a user needs to build a dashboard but won't manage it afterward, or if you want to retain dashboard access if a dashboard owner no longer uses Limble.

Click on the desired user's current permission option. From the dropdown, select "Owner."

In the new window, confirm the selection.

Transferring ownership will automatically result in the following:

  • Your role will changed to "Editor"

  • You will no longer be able to add or remove teammates from the dashboard, or manage their permissions.

If you no longer need access to the dashboard, you can check the box next to "Remove my dashboard access." You'll lose access to the dashboard once the transfer is confirmed.

Once you are ready, click "Yes, Transfer Owner."
