Using the Date Field to Track Asset Warranty & Vendor Insurance Renewal Info

Overview

In Limble, date fields can be used to track important information such as asset warranty dates, vendor insurance or licensure, or contract renewal dates.

You can even set reminders to notify a user or team when a date is approaching, ensuring you have up-to-date documentation for your assets, parts, and vendors.

This article will teach you how to set a date field, create reminders, and view date field activity.

Creating a Date Field

There are two ways to add a field:

From the new window, select the date field type and name your field. Then, click "Create."

Once you've added the field to your desired item, fill out the date.

Setting Reminders

You can set reminders to notify a user when a date is approaching from the date field settings.

There are two ways to access these settings:

  • From the edit visible columns tool, click the pencil icon next to the date field

  • From an asset, vendor, or part card, hover to the right of the date field and click on the bell icon when it appears.

From here, you can set that will notify a user or team via email that a date is approaching.

You can create up to 3 reminders per date field. By default, all reminders will be enabled when a date field is created. You can disable them by unchecking the box.

By default, the reminders will be set at 1 day, 1 week, and 1 month before the date.

Clicking the blue text for any of these options allows you to pick from additional options or create a custom reminder schedule.

(Note: reminders will apply to all items that have the date field. That means if you enable a reminder to be sent 1 week prior to a date, any item with that date field will trigger a reminder 1 week prior to an upcoming date.)

By default, these reminders will go to the manager. You can change this by clicking the blue text.

In the new window, select the user or team who will receive these reminders and click "Select" to confirm your choice.

(Note: currently, you cannot customize the date field reminder e-mail.)

Viewing Date Field History

As you update date fields, you may want to keep track of changes and updates.

You can view changes to date fields and who made the changes.

Hover to the right of the date field and click on the clock icon when it appears.

In the new window, you will see the history of changes. Super Users can edit these values or delete logs as needed.
